How long does automated driving-licence verification take?

Daily manual verification of a fleet of 10 drivers with two licence categories each takes about 6 hours 28 minutes a month. Automated verification with sprawdz-kierowce.pl takes a one-off 13.5-minute onboarding and after that only handling individual notifications (≈ 12 seconds per incident). Annual time saved for this fleet: about 77 hours.

The calculator below works out this model exactly for your own figures. The addressee of this calculation: IT decision-maker or buyer in a company looking for a tool to automate the verification of employed drivers’ entitlements.

Calculator: how long does verifying your fleet take?

Enter your fleet’s parameters and typical times for the manual process (checking on the gov.pl / CEPiK portal). The calculator works out the monthly and annual time cost of both options and the time you save with automated verification.

Sources and assumptions

  1. Polish minimum wage 2026: PLN 4,666 gross / month – Regulation of the Polish Council of Ministers of 12 September 2025 on the minimum wage and the minimum hourly rate in 2026.
  2. Employer cost: approx. PLN 5,624 / month – gross pay plus the employer’s Polish social security contributions (approx. 20.48%). Source of the rates: ZUS (the Polish Social Insurance Institution), “Social insurance contribution rates” (“Wymiar składek na ubezpieczenia społeczne”).
  3. Monthly working time: 168h (40 hours a week × approx. 22 working days). The standard full-time job in Poland.
  4. Plan prices: the current sprawdz-kierowce.pl price list – Plus (up to 50 drivers) and Pro (up to 500 drivers) with annual payment (30–35% off compared with monthly payment).
  5. Manual verification times: our own assumptions based on observing a typical session on the gov.pl / mObywatel portal. You can adjust the default values to your own observations.

How the CEPiK 2.0 integration works

Sprawdz-kierowce.pl does not scrape the gov.pl portal or log in to mObywatel manually. The app uses the official CEPiK 2.0 API, made available by Ministerstwo Cyfryzacji (the Polish Ministry of Digital Affairs) since 4 February 2025 and intended for the automated verification of drivers’ entitlements by businesses.

How a single automated verification runs

  1. Every day at 6:45 the app sends a query to CEPiK 2.0 for each driver registered in the account.
  2. The server response (licence number, categories, expiry dates, whether the licence has been withheld) is compared with the previous day’s status.
  3. If a status change affects a monitored category, the employer receives an email notification within their plan’s limit (in the Pro plan also an SMS).
  4. In the Plus and Pro plans, the result goes into the verification results archive (Plus: the last 6 months, Pro: the entire period) – a history export is available on demand, e.g. for an inspection by ITD (Inspekcja Transportu Drogowego, the Polish road transport inspectorate) or in a recourse dispute.

What this means for the user

The employer does not log in to sprawdz-kierowce.pl every day – they visit the dashboard only after receiving a notification about an irregularity, or occasionally for a review. The entire monthly time cost comes down to actual incidents, of which a typical fleet of 10 drivers has 0–2 a month.

Access to the CEPiK 2.0 API requires an agreement with Ministerstwo Cyfryzacji and compliance with data security requirements. Sprawdz-kierowce.pl meets these requirements and acts as a data processor within the meaning of the GDPR.

Frequently asked questions

On what basis does sprawdz-kierowce.pl have access to the CEPiK 2.0 database?

Sprawdz-kierowce.pl uses the official CEPiK 2.0 API made available by Ministerstwo Cyfryzacji (the Polish Ministry of Digital Affairs) as of 2025-02-04 and designed for the automated verification of drivers’ entitlements by business entities. The application operates through this channel, not by scraping the gov.pl portal or running manual mObywatel sessions – which is lawful and does not burden government infrastructure.

How long does configuring automated verification for a fleet of 10 drivers take?

Onboarding 10 drivers with two licence categories takes on average 13.5 minutes: ~60 s to register the account, ~15 s to enter each driver’s data + ~30 s to click through each verified category. After this step, further verification runs automatically – the employer only intervenes when an irregularity is detected. The calculator above runs exactly this model for the chosen number of drivers.

Does automated verification work without the user logging in daily?

Yes. After one-off configuration, the application checks every added driver in CEPiK each day at 6:45 and compares the state with the previous day. The employer only receives a notification by e-mail (in the Pro plan, also by SMS) when a status change is detected (driving-licence withdrawal, end of category validity, loss of a category). The number of e-mail notifications per month depends on the plan: Starter 1, Plus 10, Pro unlimited. Daily logins are not required – the dashboard is available on demand.
