How long does driving-licence verification at a transport company take?

Daily manual verification of a fleet of 10 drivers with two licence categories each takes about 6 hours 28 minutes a month. Automated verification with sprawdz-kierowce.pl takes a one-off 13.5-minute onboarding and after that only handling individual notifications (≈ 12 seconds per incident). Annual time saved for this fleet: about 77 hours.

The calculator below works out this model exactly for your own figures. The addressee of this calculation: Owner of a transport company holding a TSL licence – responsible for compliance with the requirements of ITD (Inspekcja Transportu Drogowego, the Polish road transport inspectorate).

Transport licence and entitlement checks

A business operating in transport under a Community licence or a national licence must meet four requirements for access to the occupation: establishment, good repute, financial standing and professional competence. Not allowing drivers without valid entitlements to work is part of the “good repute” pillar – a breach can lead to loss of that status and withdrawal of the licence.

What ITD (the Polish road transport inspectorate) checks during an inspection

  • The validity of each employed driver’s licence in the required category.
  • The professional qualification certificate and the periodic training record.
  • Current medical and psychological certificates.
  • Correct records of drivers’ working time.
  • Documentation confirming that the carrier verifies entitlements periodically.

How to protect the licence

Automated daily verification of entitlements, combined with an export of the check history, serves as “due diligence” documentation – it shows that the company monitors every driver’s status systematically. If an incident involves a driver who lost their entitlements after the last manual check, this documentation is the key evidence that the carrier was not at fault. The verification results archive is available in the Plus plan (the last 6 months) and the Pro plan (the entire period); the Starter plan does not include it.

Repeated breaches involving drivers without valid entitlements being allowed to work are an aggravating factor when the carrier’s good repute is assessed and can lead to revocation of the licence.

Frequently asked questions

Does holding a transport licence oblige a company to regularly check drivers’ entitlements?

Yes. A carrier holding a transport licence is obliged to employ only drivers with valid entitlements and professional qualifications. During inspections, ITD (Polish Road Transport Inspectorate) checks the documents of drivers linked to the company – a lack of verification or detected irregularities may result in the loss of the transport licence and the breach of the carrier’s good-repute status.

What does ITD check during an inspection at a transport company in terms of drivers’ entitlements?

ITD (Polish Road Transport Inspectorate) verifies: the validity of each employed driver’s licence, the holding of the required categories (C, C+E, D depending on the vehicles in the fleet), the professional qualification certificate, current medical and psychological opinions and the correctness of drivers’ working-time records. The absence of documentation confirming the periodic verification of entitlements is an aggravating factor.

Can the audit trail of automated verification be shown in the event of an ITD inspection?

Yes, in the Plus and Pro plans. Sprawdz-kierowce.pl stores the history of daily verifications of every driver (the last 6 months in the Plus plan, the entire period in the Pro plan), with export on request, and it can be presented as evidence of ongoing entitlement control. The Starter plan does not include a results archive. This is documentation you can present during an inspection – it helps show that the company exercised due diligence and did not allow drivers without valid entitlements to work.
