How long does checking professional drivers’ licences take?

Daily manual verification of a fleet of 10 drivers with two licence categories each takes about 6 hours 28 minutes a month. Automated verification with sprawdz-kierowce.pl takes a one-off 13.5-minute onboarding and after that only handling individual notifications (≈ 12 seconds per incident). Annual time saved for this fleet: about 77 hours.

The calculator below works out this model exactly for your own figures. The addressee of this calculation: Freight forwarder or transport manager overseeing professional drivers – responsible for the compliance of categories C, C+E and D with each driver’s current status.

Sources and assumptions

  1. Polish minimum wage 2026: PLN 4,666 gross / month – Regulation of the Polish Council of Ministers of 12 September 2025 on the minimum wage and the minimum hourly rate in 2026.
  2. Employer cost: approx. PLN 5,624 / month – gross pay plus the employer’s Polish social security contributions (approx. 20.48%). Source of the rates: ZUS (the Polish Social Insurance Institution), “Social insurance contribution rates” (“Wymiar składek na ubezpieczenia społeczne”).

Professional categories and their validity periods

For a professional driver, holding a licence in the right category is not enough – they also need up-to-date medical, psychological and professional documents. Each of them can expire separately, and once any one of them expires, the driver can no longer work legally.

Category / document Typical vehicles Standard validity
Cat. C Lorries over 3.5 t 5 years (depending on the certificates)
Cat. C+E Lorry and trailer combinations 5 years
Cat. D / D+E Buses and buses with a trailer 5 years
Professional qualification certificate Carriage of passengers / goods for hire or reward 5 years (periodic training)
Medical certificate All professional drivers Up to 5 years (shorter after the age of 60)
Psychological certificate All professional drivers Up to 5 years (shorter after the age of 60)

Manually tracking five or six separate deadlines for every driver takes up a significant part of a transport manager’s time. Automated category verification eliminates oversights and keeps the risk of losing the licence at bay.

Frequently asked questions

Which driving-licence categories are mandatory for a professional driver?

Depending on the type of transport: category C (lorries over 3.5 t), C+E (vehicle combinations with a trailer), D (buses), D+E (buses with a trailer). A professional driver must additionally hold the initial qualification or periodic training, a professional qualification certificate as well as medical and psychological opinions. Each of these documents has its own validity period requiring separate checking.

How often must the validity of a driver’s entitlements in category C or C+E be checked?

There is no minimum frequency set by statute. In practice, the TSL industry applies verification at least monthly, but growing compliance pressure and penalties coming into force in 2026 are pushing companies towards daily automated control. The reason: a professional category can expire or be suspended overnight (a roadside stop by police, a negative psychotechnical assessment, a decision by the starosta, the Polish district authority).

Do professional drivers require more frequent checks than drivers with category B only?

Yes – for two reasons. First, the risk of losing professional entitlements is higher (more hours behind the wheel, more roadside controls, additional medical and psychological requirements). Second, the cost of an incident involving a professional driver is greater: third-party liability recourse, the risk of losing the transport licence, a possible vehicle ban from an urban zone. That is why a professional fleet practically requires automated verification.
