How long does driver licence verification take?

Daily manual verification of a fleet of 10 drivers with two licence categories each takes about 6 hours 28 minutes a month. Automated verification with sprawdz-kierowce.pl takes a one-off 13.5-minute onboarding and after that only handling individual notifications (≈ 12 seconds per incident). Annual time saved for this fleet: about 77 hours.

The calculator below works out this model exactly for your own figures. The addressee of this calculation: Business owner or decision-maker in a company employing drivers – assessing the ROI of verification automation.

Calculator: how long does verifying your fleet take?

Enter your fleet’s parameters and typical times for the manual process (checking on the gov.pl / CEPiK portal). The calculator works out the monthly and annual time cost of both options and the time you save with automated verification.

Sources and assumptions

  1. Polish minimum wage 2026: PLN 4,666 gross / month – Regulation of the Polish Council of Ministers of 12 September 2025 on the minimum wage and the minimum hourly rate in 2026.
  2. Employer cost: approx. PLN 5,624 / month – gross pay plus the employer’s Polish social security contributions (approx. 20.48%). Source of the rates: ZUS (the Polish Social Insurance Institution), “Social insurance contribution rates” (“Wymiar składek na ubezpieczenia społeczne”).
  3. Monthly working time: 168h (40 hours a week × approx. 22 working days). The standard full-time job in Poland.
  4. Plan prices: the current sprawdz-kierowce.pl price list – Plus (up to 50 drivers) and Pro (up to 500 drivers) with annual payment (30–35% off compared with monthly payment).
  5. Manual verification times: our own assumptions based on observing a typical session on the gov.pl / mObywatel portal. You can adjust the default values to your own observations.

Where these figures come from

Manual verification – formula

Monthly manual verification time = frequency × (opening the portal + number of drivers × (entering data + server response + number of categories × checking a category)).

The default values (10 s, 15 s, 1.5 s, 30 s) are based on a typical manual check on the gov.pl portal: logging in to mObywatel, entering the driver’s data, waiting for the CEPiK service to respond and going through the list of categories to check their validity.

Automation – formula

First-month time = onboarding (sign-up + N × (adding a driver + categories × selecting a category)) + handling incidents. Time in each following month = handling incidents only.

The sprawdz-kierowce.pl automation runs the verification every day at 6:45 with no user involvement. A person steps in only when the app detects an irregularity – they then open the notification, log in and find the driver in the dashboard.

Critical assumption: the sprawdz-kierowce.pl app checks every driver automatically every day, so with the automation the number of “verification sessions” has no bearing on the user’s time – unlike manual verification, where every session repeats the whole process by hand.

Frequently asked questions

How long does manual verification of a single driver in the gov.pl / CEPiK portal take on average?

Full manual verification of a single driver requires logging in to gov.pl (mObywatel), entering the data, waiting for the server response and reviewing the list of licence categories to check their validity. Assuming typical times: ~15 s for data entry, ~1.5 s for the server response and ~30 s for each licence category, this gives an average of about 75 s for a driver with two categories (B + C). The calculator above runs exactly this model for your fleet.

How often should drivers’ licences be verified?

The optimal frequency is daily verification – a licence can be lost on any given day (driving-licence withdrawal, exceeding the penalty-point limit, a decision by the starosta (the Polish district authority) following a medical examination, a court ban). Manual daily verification is unfeasible for fleets of more than a few drivers – which is why sprawdz-kierowce.pl performs it automatically every day at 6:45.

Does the time saving depend on the number of licence categories to be checked?

Yes – and significantly so. Each additional licence category means an extra ~30 s during manual verification (you have to glance at the driver’s list of categories, find the one you are interested in and check its validity). A professional driver with categories B + C + C+E means a ~90 s longer verification than a driver with category B alone. In the calculator, set a realistic average number of categories for your fleet.
