How long does driving-licence category monitoring take?
Daily manual verification of a fleet of 10 drivers with two licence categories each takes about 6 hours 28 minutes a month. Automated verification with sprawdz-kierowce.pl takes a one-off 13.5-minute onboarding and after that only handling individual notifications (≈ 12 seconds per incident). Annual time saved for this fleet: about 77 hours.
The calculator below works out this model exactly for your own figures. The addressee of this calculation: Fleet Manager focused on alerts and deadlines – tracks the expiry dates of licence categories for every driver in the fleet.

Sources and assumptions
- Polish minimum wage 2026: PLN 4,666 gross / month – Regulation of the Polish Council of Ministers of 12 September 2025 on the minimum wage and the minimum hourly rate in 2026.
- Employer cost: approx. PLN 5,624 / month – gross pay plus the employer’s Polish social security contributions (approx. 20.48%). Source of the rates: ZUS (the Polish Social Insurance Institution), “Social insurance contribution rates” (“Wymiar składek na ubezpieczenia społeczne”).
- Monthly working time: 168h (40 hours a week × approx. 22 working days). The standard full-time job in Poland.
- Plan prices: the current sprawdz-kierowce.pl price list – Plus (up to 50 drivers) and Pro (up to 500 drivers) with annual payment (30–35% off compared with monthly payment).
- Manual verification times: our own assumptions based on observing a typical session on the gov.pl / mObywatel portal. You can adjust the default values to your own observations.
When to be notified
Monitoring the validity of licence categories only makes sense if the notification arrives in time to act on it. A warning that comes too late means a day of fleet downtime, so it should arrive early enough to get the medical examinations and periodic training done. In the Pro plan, sprawdz-kierowce.pl gives notice 60 days before validity ends.
How much time you need to react
- 30 days before a category expires - enough time to book a doctor’s appointment, take the psychotechnical assessment and have a new document issued at the starosta’s office (the Polish district authority). In the industry, this is the most common margin.
- 14 days before a medical / psychological certificate expires - the lead time for a faster process (the examination itself + issuing the certificate).
- Immediately after a category is lost - driving licence withheld, a starosta’s decision, a court ban. There is no time margin here – the driver cannot set off that same day.
What to monitor separately
Experience shows that a single notification about the “end of driving licence validity” is not enough – a professional driver has 3–6 documents with separate deadlines. Sprawdz-kierowce.pl lets you select, for each driver, exactly the categories that matter to the employer (B, C, C+E, D), and monitors each of them independently.
Notifications are sent by email, and in the Pro plan also by SMS. The email notification limit depends on the plan (Starter: 1 a month, Plus: 10 a month, Pro: unlimited). The system gives advance notice of expiring validity 7 days ahead in the Plus plan and 60 days ahead in the Pro plan; the Starter plan does not send advance warnings.
Frequently asked questions
How far in advance should the system notify of the end of a driving-licence category’s validity?
The industry standard is notification 30 days before expiry – enough to schedule medical examinations, possible periodic training and the issue of a new document. Sprawdz-kierowce.pl gives advance notice: in the Plus plan by e-mail 7 days, and in the Pro plan by e-mail and SMS 60 days before the end of validity, allowing the employer to arrange a replacement and avoid downtime.
Can different categories be monitored for different drivers at the same time?
Yes – this is standard functionality. When adding a driver to automated verification, you choose exactly the categories that matter to you (e.g. driver A: B + C, driver B: B + C + C+E). The system monitors each selected category separately and notifies of the end of validity of any of them.
What happens if a driver obtains a new category during their employment?
The new category will appear in CEPiK after it has been formally issued. It needs to be added to the list of monitored categories for that driver in the application – a one-off action of around 30 s. From that moment on, the system also tracks its validity and sends alerts according to your settings.
